Introduction
VFS Global manages the Canada Visa Application Centre (CVAC) in United Kingdom, operated by VFS Services UK in London.

CVAC is the exclusive service provider for the Government of Canada, authorised to accept applications in all temporary resident categories (visitor visas, study and work permits) as well as applications for permanent resident travel document from residents, nationals and persons legally admitted to these countries
CVAC is authorised to provide administrative support services, such as; the collection of visa applications and return of passports in sealed decision envelopes to applicants. CVAC can also assist in scheduling interviews on behalf of the Canadian visa office in London.
The decision to issue or refuse a visa is made solely by immigration officers of Citizenship and Immigration Canada (CIC). All applications will be assessed in accordance with Canada’s immigration visa rules and guidelines. CVAC has no role or influence over the outcome of an application and will not offer any evaluative advice.

For work permit, student permit and TRV, The use of CVAC is however mandatory for passport transmission and permanent resident travel document paper applications

Applicants who wish to apply for a visa or for study/work permit are requested to kindly read the information on this website carefully. The guidelines listed on this website are to help you prepare your documents as accurately as possible. This will reduce the chances of your application being incomplete or not being processed.

Please note that you may be required to appear before a Visa Officer for a personal interview at the High Commission of Canada in London prior to a decision being taken on your application.
 
Temporary Resident Visa / Permits and Travel Documents Application Process
 
Step 1 Applications in all temporary resident categories (visitor, student and worker) and travel document applications from Canadian permanent residents in these countries are accepted at the CVAC in London.

As of September 4, 2013, you may need to give your biometrics (fingerprints and photograph) when applying for a visitor visa, study permit or work permit.Find out if you need to give your biometrics.
Step 2 Before applying, please ensure you are very clear on your ‘purpose of visit’ - do remember we are here to assist and help you through the entire application process but are not permitted to advise or guide you on choosing a visa/permit category. Since our work is primarily administrative in nature, we have no say on whether you will be granted a visa/permit as this decision is entirely made by officials at the High Commission of Canada in London.
Step 3 Read complete information on visa/permit requirements on the CIC website and download the appropriate application forms and checklist relevant to the purpose of your visit. Please refer to the “All about visas” page to obtain details on visas/permits.
Step 4 Please select the type of the visa/permit for which you are applying to obtain the information on the requirements.
Step 5 Fill out the application form and other relevant documents..
Step 6 : You will need to validate, print and sign your visa application form out and apply in person at the Visa Application Centre in London. For best results print on white, bond-quality, non-glossy paper and use of a laser printer is recommended. Please inspect your printed form to confirm that barcodes appear on the last page (page 5 of 5). The barcodes should appear clear and be free of any distortions smudges or fading otherwise it may slow down the application process. Please note that at the time of submission you need to have all the documents and application fees specified for requested type of visa/permit. You can also apply by post. In this case your complete visa/permit application, supporting documents and fees need be sent to the Canada Visa Application Centre.
Step 7 Read the privacy policy, fill out the VFS consent form and attach it with your application form.
IMPORTANT: If a completed and signed VFS consent form is not included with the application, we will NOT be able to assist you, and your application will be returned to you.
Step 8 Pay visa fees and biometric fee, if required, as per instructions in the CIC fee schedule.
Step 9 Visit your local Canada Visa Application Centre (CVAC); make sure you bring your passport, photographs, completed forms and all supporting documents as per checklist and CIC fee and payment instructions. Applicable service charges will be levied.

Please ensure that you check closure dates and read the security regulation notices before you visit the Canada Visa Application Centre. 

Important Note: If you need to give your biometrics, the CVAC will collect your biometrics at the same time you submit your application. DO NOT submit your application by mail to this CVAC.
Step 10 Once you are at CVAC, pay the service charges, hand your complete application and obtain a receipt. This receipt contains a unique tracking number which which you will need to track the progress of your application online.

Important Note: If you need to provide biometrics, your 53 GBP ($85 CAD) biometric fee covers the CVAC service charge for application handling.
Step 11 It is Applicant’s responsibility to check the validity of the visa issued to ensure that it covers the period of stay requested, the number or entries required, and that it is valid for the purpose of trip immediately after collection of your passport.

Step 4 Pay visa fees as per instructions on the Canadian Visa Office website
IMPORTANT: If your application is received without the correct payment for visa fees, we will not be able to assist you and your application will be returned to you.
Step 5

Pay required CVAC Service Charge, and any fees for additional CVAC services, as per the Service Charge Schedule provided on the CVAC Website. Please include a Postal Order or Bank Draft for the correct amount favouring “Canada Visa Application Centre”. Please note that cheques cannot be accepted.

IMPORTANT: If your application is received without the correct payment for CVAC service charges, we will NOT be able to assist you and your application will be returned to you.

Step 6 Incomplete applications or applications with insufficient funds will not be processed and shall be returned. All the applicants are requested to remove their passport covers/ leather pouches before sending their passports along with their visa applications. VFS will not be responsible for lost/misplaced passport covers.
Step 7 Arrange forms and documents according to the CIC checklist.
Step 8 Complete and sign the CVAC Mail-in Application Checklist, make sure you include it along with the application(s).
Step 9 Decide how you want your documents to be returned to you.

Document collection or delivery after processing of your application by the Canadian Visa Office:

1. If you have opted for collection of your documents in person or through an authorized representative, you will receive an email notification advising you to collect your documents from the CVAC.
2. If you have opted for return of documents through courier or through a self-addressed prepaid envelope, the CVAC shall courier the documents upon receipt from the Canadian Visa Office.
Step 10 Mail or courier your completed and signed application forms and checklists, consent form, along with your passport, photographs, pre- paid self-addressed Royal Mail Special Delivery envelope, and payment in a sealed envelope to
Canada Visa Application Centre, The Battleship Building, 179 Harrow Road, London, W2 6NB, UK.
Note: Applicants for a study or work permit should submit a copy of their passport and not the passport when the application is submitted initially.
Step 11 Please note that for security reasons each passport will be sent to you in a separate Special Delivery Envelope (SDE) envelope.
Step 12 If you are unable to send the SDE, Canada Visa Application Centre can arrange to return your documents through secured delivery by DX Secure, the UK’s leading independent courier and mail company, for a nominal charge of £9.33The courier fee has to be paid along with the Visa fees and service fees.
Step 13 Please check the “Processing time” section of this website. Processing times for postal applications take longer due to the period that they are in transit to and from the Canada Visa Application Centre.
Step 14 Track your delivery with the postal or courier company used to submit your application(s) to the CVAC.
Step 15 You will receive an email notification containing your application tracking ID from the CVAC within 2 working days of receipt of your application.
You may also opt for Short Messaging Service (SMS) to track your application status. Please refer to the CVAC Service Charge Schedule to check for availability of SMS, related charges and payment instructions.
Step 16 It is the Applicant’s responsibility to check the details of the visa issued to ensure that it is valid for the date of proposed entry to Canada, the number of entries required, and for the for the purpose of the trip. This should be done immediately after collection of your passport. Please note that the validity period and number of entries is determined solely by the visa office and may differ from what was requested in your application.

  What if my application is incomplete?

You must send a completed application to the CVAC using the CIC checklist and other instructions provided in the Mail In procedure.

If your application is found to be incomplete, the CVAC will send you an email informing you of deficiency (ies) in your application. You must provide all the necessary documents to the CVAC within 5 working days from the date of receipt of the email.

Or,

You will be required to provide the CVAC with your written consent to submit the application to the Canadian Visa Office with the deficiencies.
  What happens to my application if I am unable to provide the required documents as notified by the CVAC?

Your application will be returned using the courier charges paid by you.

Alternatively, you may choose one of the following options:

  Provide your written consent for the CVAC to submit the application to the Canadian Visa Office with the deficiencies; or
  Send a prepaid, self-addressed courier envelope to enable the CVAC to return your documents; or
  Collect your documents from the CVAC in person or through an authorized representative. Please note that in such cases the CVAC service charges are non-refundable.
  What will happen to my application if I have not followed the visa fee payment instructions or CVAC service charge payment instructions?

The CVAC will be unable to process your application if the Visa Fee Payment instructions are not followed. The CVAC will contact you to inform you of the discrepancy and will keep your application on hold until they receive a confirmation that the above instructions have been complied with. To avoid delays, you must ensure that the visa fee payment and CVAC service charge instructions are followed prior to sending your application(s) to the CVAC.
  What can I do if the CVAC does not offer a courier service to return my documents?

The CVAC service charge schedule on the CVAC website indicates whether a courier service is available or not. If the CVAC does not offer such a service, you must include a prepaid, self-addressed courier envelope along with your application(s). Please note that if you are sending multiple applications and a single courier envelope, the CVAC will be able to courier only the documents for processed applications. You will be asked to send additional courier envelope to courier the documents for any remaining application(s) which is still under process. Alternatively you may choose to pick up the documents from the CVAC in person or through an authorized representative.
  What should I do if I don’t receive any tracking email ID or information on my application within 5 working days from the receipt of my application(s) at the CVAC?

Please send an email to info.canuk@vfshelpline.com along with the following information and the CVAC will contact you within 2 working days after receiving your email: :

  Your full name
  Your full address
  Your telephone number with area code
  Airway bill number/consignment number and date on which the application was couriered

Note: You must not include any personal information other than as specified above.

  How can I track my application?

Once the CVAC receives your application and confirms that it is complete and ready for processing by the Canadian Visa Office, your application is registered in the CVAC System and an email notification is sent to you with your Unique Tracking ID. You can track your application using your Unique Tracking ID;

  Using the tracking tool on the CVAC website
  By contacting the Call Centre
  In person at the CVAC
  By opting for SMS where available.

Step 16 Once the application is processed and the message on the Tracking system says that the passport is ready to be collected, it is applicant’s responsibility to arrange the collection of the passport from Canada Visa Application Centre. The CVAC will be unable to process your application if the Visa Fee Payment instructions are not followed. The CVAC will contact you to inform you of the discrepancy and will keep your application on hold until they receive a confirmation that the above instructions have been complied with.   How can I track my application?

If you have received notification from the Government of Canada requesting your passport, your passport, contact details (email and working phone number) along with the request letter may be submitted through Canada Visa Application Centre.
Please note that there will be a Service Charge for the above services. Courier charges where applicable are separate from the Service Charge applicable for Passport Transmission Services. The details can be obtained here.

How to submit your passport:

Once you receive notification from the Government of Canada requesting your passport, you can submit the passport and that request letter:
1. In person/ through an authorised representative at the CVAC
  Or,
2. If you are posting your passport and approval letter, Please submit cover letter with your contact details (email and working phone number) to the CVAC address mentioned on the ‘Contact Us’ page.

To retrieve your passport, you have the choice of;
1. Picking up the passport in person at the CVAC or;
2. Requesting return of passport by courier or;
3. Sending a prepaid self-addressed courier return envelope along with your passport and request letter

The Passport Transmission Services offered by the VACs will enable you to;
1. Get your passport delivered to the CVO in a timely and safe manner.
2. Track the status of your passport by using the Tracking tool on the CVAC website

 
Please Note:
  Please check the “Processing time” section of this website. Processing time for postal applications takes longer due to the period they are in transit to and from the Canada Visa Application Centre.
  Application once sent in post cannot be withdrawn unless there is an emergency for which documentary evidence shall be required.
  A maximum of one processed passport shall be returned per envelope.
  Do not send cash or credit card details along with your application via post/email. If a family or a group is applying for a visa together, they may pay the visa fees and the service charges for all the members together.
  VFS Services UK Ltd, shall not bear responsibility for any delays in postal transit or loss in transit owing to a third party involvement.
  Please finalize your travel arrangements only after you obtain an appropriate visa.
